Katmai Update - November 2021

Save Even More Time With These New Features, Available To You In The Coming Weeks!

The Forms On Fire team decided to do something a little different and fun here with this update. Moving forward we want to name our platform updates with a National Park or Monument in the United States. Our latest update gets its name from a National Park in the state of Alaska here in the United States: Katmai National Park and Reservation

Katmai National Park is on a peninsula in the state of Alaska. For those of you who don't know, Alaska is the furthermost north western state, and by far the largest state in the United States. People travel to Katmai National Park for its sprawling forests, wild landscapes, and snowcapped mountains. Many visitors will spot a brown bear or two, along with abundant salmon. Perhaps the brown bear's favorite food 🐟

Katmai National Park is so diverse, The Valley of Ten Thousand Smokes is an area that was formed by a massive volcanic eruption! If you're excited, wait until you read about these updates coming below!

App Features

Put on your designer hats, here is a breakdown of the new features and improvements that you'll see in the app and platform soon!

New Field Type Alert! OCR Field Type = Less Manual Data Entry

Adding an Optical Character Recognition (OCR) Field to your form design can majorly help increase data accuracy with automatic text extraction. Did we mention save a massive amount of time?

With using the OCR Field in a form, you can take a photo of a page containing text. The OCR will automatically extract any text (hand-written or printed) that it can recognize. How neat is that?! 🤯

This extracted data can then be used in the form and optionally be output in your final report that is sent to end users. Less manual data entry = more time to get things done. 💪

New Connection Alert! Presenting the NetSuite Connector

If you haven't heard of NetSuite before, NetSuite is the world's leading provider of cloud-based business management software. NetSuite helps companies manage core business processes with a single, fully integrated system covering ERP/financials, CRM, ecommerce,  inventory, and more.

Our new NetSuite Connector eliminates the need to find workarounds for data transfer to and from the Forms On Fire platform. You can now push and pull data between NetSuite and Forms On Fire automatically, saving you valuable time. Which we all know time = money. 💰

To give you an idea of how you may use the NetSuite connector, let’s pretend your users need to complete a work order for a specific customer. You can pull your customer list from NetSuite into Forms On Fire and populate a Choices field (dropdown) in a form. Your users can then select a specific customer, fill out a form and push the data submission into the Work Order Object in Netsuite.

Get More Control Over Your Account Security With 2FA & TOTP

The double layer of security that 2 Factor Authentication (2FA) offers you is invaluable. It makes unauthorized access to your account more difficult for better protection against spoofing and hacking attempts. 🥷

That’s why we’ve added 2FA capability (via time-based one-time passwords – or TOTP) to the Forms On Fire platform as an option. This includes QR code generation for easy setup with your authenticator app.

The bottom line: you can now add an extra layer of security to your account. 🙂

New Dispatching Task Feature - Marking Task Activities as Optional

Task activities have historically been mandatory to the mobile user completing them. But we put on our thinking caps and thought about all the use cases and possibilities out there. What if a client had a need where task acitivites needed to be optional for their users in the field?

For example, if you had to submit two forms along with a task, but one of those was optional (only if the user has time), you’d still have to complete both before you could complete the task. Or maybe one task was an instruction or training video that goes out to all users and some of them have seen or read the content?

Now you’re able to mark task activities as optional, so you can submit tasks without completing all activities. This adds more flexibility to your workers’ schedule and ensures that optional task activities are well… optional.

Edit Repeating Table Rows Directly Within the Mobile App

The current method of editing table rows on the app can be frustrating. You’re out of the Table field and have to make a quick change to a single cell in the Table. Now you have the option to tap the row and then find the field you want to change. It’s not nearly efficient enough! And we want everything to be as efficent as possible for our users 😊

That’s why we’ve added the ability to tap on a cell in a Table and edit it directly, shaving precious minutes off your field team’s busy schedule.

*Enterprise Edition Feature* - Switch Environments Without Editing Rights

This feature is exclusively for our Enterprise Edition users. If you're interested in upgrading to our Enterprise Edition, please feel free to check out our pricing page or meet online with one of our sales representatives.

Historically it has been possible for Enterprise Admin users to have access to all environments of an organization. However, the problem is that editing access is added to the user by default. What if you wanted to allow a user access to ALL environments but without editing rights?

To solve this limitation, we have added a new permission toggle, "Can Switch Context" to the User Details Screen on the cloud platform. This will allow both read-only and read-write users access to view all environments (when selected). This is a great tool when you have employees that need an overview of the environment (like support), but not necessarly editing rights.

Great Visibility with Task Templates and Process Steps

Many of our clients are using the Process Step field type to utilize workflow functionality and automate processes in their forms! If you utilizing the Process Step field you may want to see when a task is claimed, and by which user without waiting for the upload of the form submission.

Given this need, we are soon releasing a feature that will allow you to attach a Task Template to a Process Step field type. This will open access to Task Connectors and can notify those who need to know when a connector is triggered. For example, when a task is claimed or a status is changed.

Take your tasking and workflow automation to a whole new level!

Great Form Designer Improvements

We are adding two great improvements to the drag-and-drop form designer. The first of which is the ability to change a field type without deleting the field. Currently you have to delete the old field and add a new one in order to change the type, which loses your field's properties (i.e. Data Name, Title Text, Hint Text). Now using a dropdown next to the Data Name, you can select the field type you want to change your field to.

The second feature we've added is an autocomplete function on the initial TitleText edit. In the past, you needed to edit the Title Text and the Data Name separately. This small change makes it possible only to change your Title Text. Thus auto filling the Data Name to your field.

You can still edit your Data Name seperately, if you wish!
